Internal Communications Initiatives

Following months of research, interviews, and discussions with subject matter experts, these comprehensive internal courses were created and tailored for PAHO personnel with little to no prior communications experience.

Each video learning module has an accompanying downloadable handbook that provides step-by-step guides and templates for individuals to craft their very own communications plans, effective presentations, and stories.

Disseminating these internal communication initiatives involved the following key steps:

  1. Planning the Strategy: Defining objectives, target audience, key messages, and desired outcomes. Developing a comprehensive strategy outlining communication channels, timelines, and resources needed.

  2. Creating Compelling Content: Developing engaging and informative content aligned with the initiative's goals including emails, newsletters, videos, or presentations.

  3. Identifying Communication Channels: Utilizing diverse channels including intranet, email campaigns, team meetings, notice boards, and social platforms to reach employees, tailoring messages to suit the channel's tone and format.

  4. Implementing a Rollout Plan: Executing the communication plan systematically, starting with pre-announcements, followed by main messaging and supporting information, ensuring consistency across all channels.

  5. Encouraging Feedback and Participation: Fostering an environment for open dialogue through the intranet, encouraging employees to ask questions, provide feedback, and actively participating in discussions related to the initiative.

  6. Training and Support: Offering in-person and virtual training sessions and resources to aid employees in understanding and implementing the initiatives. Providing support materials, FAQs, or user guides.

  7. Measuring Effectiveness: Using metrics like engagement rates, feedback surveys, or participation levels to evaluate the initiative's impact. Analyzing results to make improvements for future initiatives.

  8. Continuous Communication: Sustaining communication efforts beyond the initial launch, providing regular updates, and keeping employees informed about changes.

  9. Adapting and Iterating: Assessing the success of the initiatives and identifying areas for improvement, adapting strategies based on feedback and changing organizational needs, iterating for continuous enhancement.
